The student side of Braindemics looked polished. Behind it, a small team was holding everything together with spreadsheets, shared drives and WhatsApp threads. This is the story of giving them one place to work.

What does Braindemics do?
Braindemics curates learning kits, videos and PDFs for schools across three levels: Beginner, Explorer and Masters. Schools get the right material for their level, and the Braindemics team makes sure it gets there, month after month.
Problems
Four tools, one operation
Spreadsheets, shared drives, email and WhatsApp were all doing part of the job. Nobody could see what a school was actually doing without asking around.
Next month's content waited on a person
Approval to unlock the next month was entirely manual, so schools just waited.
The right file had to reach the right school
An uploaded file needed to land at the right school and the right level, without anyone chasing it. This turned out to be the hardest part of the project.
Questions and kits fell through the gaps
Teachers had no reliable way to reach admins mid-lesson. Nobody could tell which kits had been delivered or returned.
It wasn't a visual problem. It was an operations problem wearing a UI costume.
Listening before building
I started with four one-on-one conversations with the content, support and logistics teams, and a survey of 15 teachers on the platform. I also sat in while admin staff handled onboarding and uploads, and looked at how Khan Academy and Byju's organise content and roles.
What kept coming up
Teachers wanted content by level and subject, not one long list
The monthly approval was slow and blocked schools
Admins were juggling four tools
Coordinators needed something that required zero training
One panel to run it all
I built the panel around three ideas: centralise everything admins touch, automate what used to need a person, and keep it simple enough that nobody needs a walkthrough.
Every school, level and contact in one place
Content by level
Videos and PDFs upload into Beginner, Explorer or Masters and sync straight to the schools cleared for that level.
Upload once, and it reaches the right schools.
Progress unlocks the next month
Teachers can request next month's content only after hitting 100% on the current one. Admins are notified the moment a request comes in and can approve or reject it in a click.
Approvals now follow real progress, not spreadsheets
Every school gets its own door
Each school has a unique login, so teachers only see content for their assigned level. Three levels, one login.
The wrong material can't reach the wrong classroom
Chat that replaces WhatsApp
Teachers message admins from their own dashboard instead of losing a question in an email thread.
Questions land where the admins already work
Kit tracking without the phone call
An order and return tracker shows which schools have received kits and which still owe one back.
Delivery and returns, visible at a glance. Click the screen to step through.
Bringing it all together
These pieces came together as a single system. Schools, content, approvals, messages and kits all live in one panel, with one current view for admins, teachers and coordinators.
